Extend Data Retention and Prevent Automatic Deletion of Sent Faxes / Outbound Fax Logs
We are requesting that RingCentral modify its data retention policy to prevent the automated, permanent deletion of Sent Faxes and their corresponding recipient metadata.
Currently, RingCentral's policy dictates that Sent Faxes are permanently purged from the servers after only 30 days, with no option for users to extend this timeframe natively within the app interface.
This short window creates a massive issue for business continuity, tracking, and basic customer service. If an employee needs to look back at a previous transmission to confirm exactly who received a document, the record is completely wiped out if it falls outside of that 30-day bracket.
Real-World Example:
A user recently attempted to locate an essential 29-page corporate fax sent via the RingCentral Desktop App on 4/22/26. Because the 30-day window had passed, the system completely removed the record. The user is now unable to verify the name of the individual or company the document was successfully sent to, causing a critical break in the audit trail.
We ask that RingCentral stop permanently deleting outbound faxes by default, or at least provide an administrative account toggle to extend Sent Fax history matching the 1-year threshold of standard Call Logs. ## Why This Matters / Business Impact

Preventing Data Loss: Users expect their sent outboxes to act as a historical record. Automatically purging heavy transmissions (like a 29-page file) without a clear, native warning to the standard user results in permanent data loss.
Operational Efficiency: Eliminates the need for teams to manually download and print physical confirmation sheets for every outbound fax just to safeguard the recipient's name past 30 days.
