Add Per-User Toggle Switches for All AI Features in the Admin Portal
Summary:
Enhance the RingCentral Admin Portal by providing individual toggle switches for all AI features at the user extension level, similar to the existing controls for AI Assistant and Automatic Call Notes.
Business Need:
Currently, only AI Assistant and Automatic Call Notes provide administrators with the ability to enable or disable the feature on a per-user basis through toggle switches in the Admin Portal.
During a customer engagement, Tier 3 enabled the Closed Captioning feature for the tenant. However, the customer expected the ability to selectively enable or disable Closed Captioning for specific users as a Super Admin.
To validate the current behavior, I tested an account with seven AI features enabled. After navigating to Admin Portal > User Extension > AI, I confirmed that only AI Assistant and Automatic Call Notes have dedicated toggle switches. The remaining AI features, including Closed Captioning, do not have equivalent administrative controls.
Requested Enhancement:
Introduce per-user toggle switches for all AI features within the Admin Portal, including but not limited to:
Closed Captioning
Live Transcription
AI-generated Meeting Summaries
AI Meeting Insights
Other current and future AI features
The experience should be consistent with the existing implementation of AI Assistant and Automatic Call Notes, allowing Super Admins to independently enable or disable each AI capability for individual users.
Customer Benefit:
Gives administrators granular control over AI feature deployment.
Supports phased rollouts across departments or user groups.
Allows organizations to enable features only for users who require them.
Improves compliance with internal policies and user preferences.
Creates a consistent and intuitive administrative experience across all AI features.
Current Behavior:
Only AI Assistant and Automatic Call Notes have per-user toggle switches.
Other AI features are enabled tenant-wide without individual user controls.
Expected Behavior:
Every AI feature available to the tenant should include a per-user enable/disable toggle within the Admin Portal, providing administrators with consistent management capabilities across all AI services.
Customer Impact:
The customer specifically requested the ability to selectively enable Closed Captioning for certain users while leaving it disabled for others. The lack of per-user controls prevents organizations from managing AI features according to their operational and business requirements.
