Option to Turn off Auto Saving of Custom Fax Covers to the Cloud
a new feature for the RingCentral desktop and mobile applications regarding the handling of custom fax cover pages. Currently, the app automatically saves any custom fax cover page created during the sending process. While this is helpful for individual users creating reusable templates, it creates significant operational friction and security risks for teams that share a single user extension across multiple devices or personnel.
We kindly request the addition of a toggle or setting to disable the auto-save behavior for custom fax cover pages.
The Core Problem: Shared Extensions
In our workflow, multiple team members log into and operate out of a single RingCentral user extension. Under the current system, whenever one staff member modifies or creates a custom fax cover page for a specific, one-off transmission, the RingCentral app automatically saves it to the shared library of cover pages. This forced auto-save behavior causes several critical challenges:
Security & Privacy Risks: Custom cover pages often contain patient names, legal case numbers, or sensitive financial notes intended for a single recipient. Because these auto-save to the shared extension, other staff members can see these sensitive details. This exposes the organization to data breaches if a user mistakenly selects another team member's saved, client-specific cover page for a new, unrelated fax.
Severe UI Clutter: With multiple people sending dozens of unique faxes daily, the shared cover page library quickly becomes overwhelmed with single-use templates. Finding standard, company-approved templates becomes incredibly difficult.
Wasted Administrative Time: To maintain a clean workspace, ensure privacy compliance, and prevent accidental misuse, our staff is forced to manually navigate back into the app settings to delete these one-off cover pages after almost every single fax they send.
Proposed Solutions
We recommend implementing one of the following solutions to give teams better control over their shared data environments:
Point-of-Send Toggle (Preferred): Add a simple checkbox on the fax composition screen (below the cover page editor) labeled "Save this custom cover page for future use." Leaving this unchecked would send the fax with the custom cover but discard the template immediately afterward.
Global Preference Setting: Introduce a toggle within the app’s Settings > Phone/Fax menu labeled "Automatically save custom fax cover pages." Administrators or users can toggle this off to ensure cover pages are never saved unless explicitly requested.
Business Value
Implementing this feature will immediately improve the security, compliance, and efficiency of the RingCentral faxing experience for businesses utilizing shared extensions. For industries operating under strict data privacy regulations (like healthcare and legal), preventing the accidental storage and reuse of sensitive cover notes by unauthorized team members is a critical compliance requirement.
Thank you for your time and for continuously working to improve the RingCentral platform. We look forward to seeing this necessary quality-of-life improvement in a future update.
