Customizable Prompt for Dial-by-Name Directory
As an administrator managing the corporate phone system,
I want to customize or completely replace the default system audio prompt within the Dial-by-Name directory,
So that our organization can maintain a consistent brand voice, support multiple languages natively, and provide clearer instructions tailored to our business needs.
Current Limitation / Problem Statement
Currently, when a caller is routed to the Dial-by-Name feature, RingCentral plays a hardcoded global system prompt ("Please enter the first few letters..."). While administrators can customize the top-level Auto-Receptionist greeting before entering the directory, the transition to a generic, text-to-speech system voice sounds disjointed, breaks corporate branding, and cannot be tailored for clarity or specific dialect preferences.
Proposed Solution / Use Case
Provide an option under Phone System > Auto-Receptionist > Dial-by-Name Directory Settings to switch the directory prompt from "Default" to "Custom."
The interface should allow administrators to:
Record over the phone or via computer microphone.
Upload an audio file (.wav or .mp3) for professionally recorded voice talent.
Apply unique prompts per Multi-Site configurations to support localized or multi-lingual directories.
Business Value & Impact
Brand Consistency: Allows enterprise customers to use their professional voice talent seamlessly across the entire inbound calling experience.
Localization / Accessibility: Enables international or multi-site clients to upload instructions in their regional language or dialect, which the default prompt does not adequately cover.
Reduced Drop-offs: Clearer, customized instructions can lower abandonment rates for callers who struggle with the default text-to-speech timing rules.
