Custom fax coverpage upload allowable for Email faxes please!!! - HIPPA
Good afternoon,I was very happy to see that Ring Central Desktop ap fax allows me to create a custom fax cover sheet to add on all outgoing faxes processed through the desktop ap because our company is required to have a specific HIPPA statement on our fax cover sheet. However, in attempting to streamline the efficency of outbound faxing by using the email fax submmission ##########@rcfax.com and typing into the subject line, the current RC platform doesn't allow this same custom coverpage to be uploaded into the default outgoing fax settings area. Therefore I have to still copy and paste the HIPPA statement into this email every time I want to send a fax. Please make an upload option for the outbound fax settings so that custom cover pages can go out with email faxes thanks!!Here is the HIPAA statement that we have to copy / paste into every single fax cover sheet currently to protect ourselves for reference:Confidential Health Information Enclosed. It looks like this should also merge together with these:https://ideas.ringcentral.com/ideas/CUSTCOM-I-1228https://ideas.ringcentral.com/ideas/CUSTCOM-I-1208And there are probably others. One actually says 'Planned'.However, I can't find any evidence including documents or word from Support to say they are actually planning this...

How ridiculous is it that this idea has been circulating and requested for 3 years. It's been planned to be implemented for over a year. Honestly, this is something that you should already be offering since you claim to be HIPAA compliant. Technically if providers use your Ring Central App or RC email to fax, unless they manually add a "PHI Clause" to every fax, RC is not HIPAA compliant. Shame on you for such a large company.

Please provide a status update for this "planned" implementation at the end of last quarter. Thanks.

Maybe I am missing something. If so please help me get this set up. I got your email telling me that the Custom cover page issue was fixed. I looked at the instructions and tried on both the desktop app and the web version.
For the desktop app (which is what I use almost all of the time:
I do NOT see any changes. I do NOT see where we can add and save a custom fax cover page with a HIPPA compliant message that we can select for all of our coverage pages. Am I missing something? On the Web version I see the box that can be checked for cover page and then we can put a message in there but it does NOT save it as a default cover page we can select each time. Again, am I missing something?
Just to make sure I have the most current desktop version I also loaded the desktop app again just to make sure I have the lates version. I see no changes or upgrades regarding a custom fax page.
Please respond back.

Jennifer,
What does that even mean when you say " This is for the custom page for the app. We'll put back the status of this idea to "planned."First of all, does that mean you misunderstood what everyone was asking for when we were saying we needed to be able to create a custom default page we could use to maintain HIPPA compliance like RC had on the old version?
When you say custom page for the app, I'm not sure what you are taking about because I could not make a custom page using the app. Can you explain?
Also, when you say you are going to put it back into "Planned", what does that mean as well? You mentioned RC would have this issue resolved before the end of June. Are you still saying it will definitely be fixed before the end of June or what is the time frame?

Hi all! The feature for custom fax cover page is now available. Check this link to learn more https://support.ringcentral.com/mvp/fax/setting-up-fax-cover-page.html. Thank you!

Hey Jerry, I confirmed with the product manager for phone that you'll be able to add custom cover pages and use them as default.

JessicaWhen you say this issue will be fixed by the end of the month is it going to be like you had it on the older version where we can build and store our own custom fax page to use and make as the default? I link that I had seen showed us having to "attach" a fax cover page to each fax we send. I sure hope that is not RC answer to this issue. Can you clarify how RC is "fixing" this?
-
Sorry for the confusion everyone, the feature is finished being built but won't be available in app until the end of the month. Almost there! I changed the status back to planned and will mark it as implemented once the feature rolls out in version 22.2.3. Thank you for your patience.

Am I missing something? The article linked below doesn't seem to describe how to add a custom cover sheet. It only describes options for what to use for the cover page note (email subject vs. body). This isn't a custom cover page (with firm logo, my own disclaimer or confidentiality notice, etc.). What am I missing?

The same is needed when sending a fax to a fax number instead of an e-mail address. The name of the person to route the fax to is needed when the recipient is using shared office equipment/space. Thanks.

RC please advise why this issue is still under review since Aug of 2020? It is imperative that anyone faxing any PHI related information is required, REQUIRED to include a confidentially notice on the cover page, clearly this includes you, RingCentral. SO, If you, took the ability from us, to customize our own, then you must provide one. It can't take you 5 months of reviewing to simply take the exiting Confidential fax cover, that you currently have, duplicate it, add a confidentially notice at the bottom and save it into your list of cover pages as "Confidential-HIPAA". Examples of the notice can be viewed in the link below (to help you with your 5 month review). But for you to have not included this vital information that is CLEARLY, again REQUIRED by it looks like approx. 41 of your clients, is frankly, disheartening. Thus, is having me, a new client, seriously rethinking and promoting your services, simply because you are "UNDER REVIEW" (again for 5 months now) and have not, nor apparently care, to resolve this issue that should have been resolved long before my office signed up with you. So please stop reviewing and, if you must, escalate this issue to upper management. Thank you. https://hipaafaxguide.com/hipaa-coversheet/

Can you please add a HIPAA compliant fax cover page? We are required by law to include a statement to all of our out going faxes to keep us HIPAA compliant and prevents us from liability. So can you add a cover page "Confidential - HIPPA" with perhaps the following statement included at the very bottom of the cover page (it can be in a smaller size font like 9 as long as it is legible). This is imperative that we have this issue resolved ASAP. thank you for your expedited response.PRIVACY NOTICE: CONFIDENTIAL HEALTH INFORMATION ENCLOSEDProtected Health Information (PHI) is personal and sensitive information related to a person's health-care. IMPORTANT WARNING: This message is intended for the use of the person or entity to which it is addressed and may contain information that is privileged and confidential, the disclosure of which is governed by applicable laws.If you are not the intended recipient, you are hereby notified that any disclosure, copying or distribution of this information is strictly prohibited. If you have received this message by error, please notify the sender immediately to arrange for the return / destruction of these documents.

We need to add confidentiality notice to the cover note/page (as a template, not to type it or paste it for each fax) since we deal with patient info. This is extremely important feature for all medical practices and I wish it can bee added ASAP. Thanks
